Welcome to the Reality Creations Client Relationship Module - this is a piece of software designed to help you keep track of your clients, employees, and interactions between them.

 

Global Summary Page

 

Upon opening the module you are presented with the global summary page. This is an overview of all actions that need to be completed, ordered by date, so the task that needs to be completed first will be displayed at the top of this page. Overdue tasks are highlighted in flashing red to bring them to your immediate attention. By default, actions which need to be completed in the next seven days are shown, but you can use the Calendar on the left hand side to choose a different date in the future if you wish.

Another useful feature of this page is the employee action count table, shown in the bottom right of the page. This allows you to the number of actions each employee has outstanding, enabling you to transfer some jobs to a different employee if one person clearly has too many to perform.

Client Section

The main functionality of this module can be found in the clients tab.It allows you to search, add and edit clients, create and edit actions, and organise clients into different categories. A table is displayed on the right giving the most important details for your clients, and allowing you to choose one to edit. You can re-order this table by the various column headings, for example, you can sort clients by most actions outstanding.

On the left hand side of the screen is a live search box which allows you to search through your client list to find the client you are looking for. Once you have found the client, you can click on their name to bring up their full details. Once you have clicked the clients name, a tree menu is displayed on the bottom left of the page.

The first option is Personal Details, and this is shown by default. It allows you to enter all of the personal details of the client. Each client can be assigned to a member of staff, which is useful for commission based businesses or simply just for distributing the workload throughout your business.


The next option is notes. Here you can enter any information you wish, for example background information or things you need to remember that can't be defined as an action.

The next option is Categories and interests. This option allows you to group clients together. These groupings are business dependant. Some examples might be: Client has interest in a specific development or country or it could be a group of clients who have invested in a particular development. This is useful for the export functions of the Client Relationship Module as you are able to export e-mail addreses by Categories/Interests, enabling targetted e-mails to be sent. In addition these groups can be used to populate separate plud-in modules like the 'Progress tracking module'

Next up is the actions tab, which allows you to assign different actions to a client, such as reminders to chase up an enquiry or simply to make a phone call. You can assign the action to a specific employee, with the option to send an immediate e-mail, or alternatively, send a reminder e-mail at a specific time on the day the action needs to be completed. The reminder time can be set in 15 minute intervals, allowing you to spread your reminders out along the course of a day, ensuring that the action won't be forgotten.

When an action has been completed or needs a further follow up, you can change its status using the dropdown menus. You can also reassign actions to different employees if necessary, or update the title and main text.

When you wish to add a new client, select the Add icon located underneath the live search box. When this is clicked you are presented with a blank personal details page. You then add in the clients information and click the submit button and the client will be added to the system.

Diary Section

Whilst the Summary page shows only actions that need to be completed in the future, the diary tab allows you to see all actions held within the system, in the past and in the future. It gives you a summary of the action, the employee it is assigned to, the date it has to be completed or needs to be performed. You can then click the button on the right hand side to open the actions page for the relevant client.

Employees Section

The employees tab is very similar to the clients tab, allowing you to enter all the same personal information. Once again you have a summary table giving you an overview of the most important details, and the live search box enabling you to quickly find the employee who's details you wish to view. An important field on this page is the Logon Account field. You must set this for each employee so that actions they create are automatically assigned to them, and so that the system shows them the information most relevant to them. Whilst actions in the clients section shows actions that are relevant to the selected client, here in the employees tab all actions that are assigned to a specific member of staff for all clients are displayed instead.

Import Section

The import tab allows Comma Seperated Value files of the type you can export from Microsoft Excel, Access and many other applications. This is a very fast alternative to adding all of your clients manually if they are currently stored in another piece of software. Once the file has uploaded, all of your data will be displayed on screen, and you can then rearrange the headings to match the order of the data you have exported. Once you are happy with the layout of your data, click submit and all of your clients will be added into the system.

Export Section

The export function allows you to export comma seperated e-mail addresses of specific clients or categories of client. This can then be entered into your e-mail software to allow you to send targetted e-mails to specific groups of clients. Simply select one or more categories from the left hand window, add more clients if you wish using the centre window, and then click submit to place the resulting list of e-mail addresses in the third window, where you can copy and paste them into your e-mail software.
